What you need

  • Computer or cloud drive
  • Files to organize
  • Backup location
  • A short naming convention

Every step

  1. 1

    Choose the main storage location

Decide which computer or cloud service is the primary home for each type of file. Avoid keeping multiple competing master copies.

  2. 2

    Create a small folder structure

Start with broad folders such as Personal, Work, Money, Home, and Archive. Add subfolders only when a real search problem appears.

  3. 3

    Choose consistent file names

Use a predictable pattern such as YYYY-MM-DD topic version. Keep names short, descriptive, and searchable.

  4. 4

    Gather loose files

Move files from downloads, desktop, and temporary folders into a review folder. Do not delete items until you know what they are and whether they are backed up.

  5. 5

    Sort by use and date

Move active documents into their subject folders. Put old versions in an Archive folder and mark the current copy clearly.

  6. 6

    Handle sensitive documents

Store private records in an appropriately protected account or device. Limit sharing and remove public links that are no longer needed.

  7. 7

    Back up the important files

Use a second storage location for important documents and verify that a sample file can be opened from the backup.

  8. 8

    Set a short maintenance routine

Review Downloads and the desktop once a week. File new documents using the same naming pattern and archive completed projects monthly.

Important warnings

  • A synced folder is not always a separate backup.
  • Do not upload sensitive records to an account you do not control.

Finished when

Important files use consistent names, have a clear home, and at least one verified backup with a simple maintenance routine.
